| SWEET-BILLING CHECKUP - IS IT WORTH YOUR TIME?
By Cheri Lane - Communication Manager
Whether you value your time at $20 or $100 per hour, the Sweet-Billing Checkup service (www.ortivusna.com/Services/billingcheckup) returns positive results. This service not only identifies issues that may have taken hours, days or months to settle to the surface naturally (or perhaps not at all), but also can uncover misplaced AR dollars that make the $199 fee seem like a very small investment.
How much time do you spend on collections or on QA/QI analysis? Your efforts are likely well justified. For the same reasons that you spend time and effort on these activities, Ortivus encourages all Sweet-Billing customers to take an hour and work through this process with an Ortivus Checkup Consultant. The Sweet-Billing software is a dense and powerful application, which offers great flexibility in customization for the needs of the individuals using it. Therefore, it is not uncommon to find organizations in which one employee set up certain parameters one way, only to later be inherited by a different employee who is unaware of the setup details and may not be using Sweet-Billing properly to access all the contained information within the application.
Here are a few common questions that we’ve received about the Sweet-Billing Checkup program, along with the respective answers.
What Exactly Am I Getting?
The Sweet-Billing Checkup provides the piece of mind that there are no outstanding claims within your billing system resulting in unclaimed AR dollars, only to be discovered after the timely filing deadline. The process usually takes less than an hour.
If Ortivus does not find any misplaced outstanding AR dollars, this tool and process provides a inexpensive peace of mind; on the other hand if the Checkup does find money that has not yet been billed, you will be informed of the misplaced AR dollars and the current dollar amount.
What Exactly Will Ortivus Be Doing?
The process for the Sweet-Billing Checkup is fairly simple. Ortivus starts by running an aging report which gives us a snap shot of the billing schedules you utilize and the dollar amounts outstanding in each schedule. We then transfer a utility which we run against your data. This utility looks for dollars unbilled within a specific timeframe – such as the past 90 days.
The results do vary - we have had customers with $0 dollars of unbilled claims and we also have found customers with over $500,000 of unbilled dollars!
After I Get The Results, What Are My Options From There?
Upon completion of the Sweet-Billing Checkup, if misplaced AR dollars are found, you can take the information discovered and proceed by researching the matter yourself, or have Ortivus continue with further consulting activities for a fee to claim the AR dollars and address the issue which caused the problem in the first place. The time involved in this step varies according to the nature of the issue.

CUSTOMER ADVISORY COUNCIL BEING FORMED FOR ELECTRONIC PATIENT CARE REPORTING SYSTEM
By Charlie Barry - Product Manager
Ortivus understands the importance of customer involvement in the development and maintenance of its product line, which is why Ortivus is implementing the idea of a Customer Advisory Council for electronic patient care reporting.
A Customer Advisory Council (CAC) is a method for gathering people’s thoughts, ideas, opinions, and reactions to a product, or to a feature within a product. A CAC for electronic patient care reporting is being established to provide a formal means of collecting customer input for product management.
The Ortivus CAC meetings will serve as forums to discuss the following topics as it relates to electronic patient care reporting:
- Discuss industry trends and business problems in the industry.
- Get feedback on proposed features and software applications for the EMS industry.
- Demonstrate and discuss prototypes of software under development, thereby acquiring feedback prior to release.
One benefit in participating on a Customer Advisory Council is the opportunity to play an active role in the development and maintenance of the electronic patient care reporting system. Another benefit is the opportunity to network with other members of the CAC to share ideas and solutions.
Questions regarding the Ortivus Customer Advisory Council can be submitted to Charlie Barry at charlie.barry@ortivusna.com
VERSION 5.3.1 COLOR CHANGES IN SWEET-FIELD DATA
By Dan Voss - Product Manager
The 5.3.1 release of Sweet-Field Data has brought some colorful new functionality of Sweet-Field Data. Real-Time Rules give your crew members a colorful indicator on the progress of their documentation and the best part is, there is no additional setup required to take advantage of this new functionality.
Ok, maybe that wasn't the best part, maybe the best part is that it doesn't require any new training for your Field Data users.
Real-Time Rules use colored labels on tabs, buttons, and fields in Sweet-Field Data to indicate when a field defined as 'required' or 'prompt if missing' has not been answered. This gives the user a visual indication of fields that require documentation to complete the call.
Red indicates that a 'required' field has not been populated.Green indicates that a 'prompt if missing' field has not been populated.

A quick glance at this tab indicates that there are required fields on the Patient tab that must be filled in.
On the tab, the jump station buttons indicate which sections have fields that must be populated.

Then in the section, the individual field labels indicate where data is needed.

When the field is populated, it's label turns back to black The section header label and the jump station button turn back to black if all the 'required' and 'prompt if missing' fields for the section have been satisfied. The color of the page tab label also updates automatically based on the state of all the 'required' and 'prompt if missing' fields on that page.

To implement this new feature, Ortivus Support Maintenance Customers can update to Version 5.3.2 which is now available on the downloads page of www.ortivusna.com.
With the release of 5.3.2, all Sweet-Billing and Sweet-Field Data customers can download their updates from the website. Previously customers with Sweet-Field Data were required to update using CDs.
